This training explains how to find apartment communities, introduce the Resident Welcome Program, send managers to the program page, track your outreach, and follow up professionally.
1. Your Role
Your role is to introduce apartment communities to the Doms Mattress Resident Welcome Program.
You are not selling mattresses directly. Your main goal is to build relationships with apartment communities and direct managers to the Resident Welcome Program page so they can review the program and download the flyer.
This is a relationship-building outreach role. The goal is to help apartment communities offer a simple benefit to new residents.
2. What the Resident Welcome Program Is
The Resident Welcome Program allows apartment communities to offer new residents an exclusive mattress discount at no cost to the community.

3. Your Main Objective
Get the apartment manager to review the Resident Welcome Program page.
Do not over-explain. Do not pressure. Your job is to introduce the program, answer basic questions, and send the link.
The manager should be able to understand the full program from the page itself.

5. How to Find Apartment Communities
Use apartment listing websites such as Apartments.com, apartment community websites, Google search, or other public sources to find apartment communities in your assigned state or territory.
For each apartment community, gather the information needed for the tracking spreadsheet.
- Apartment community name
- City and state
- Property website, if available
- Phone number
- Email address, if available
- Manager or leasing office contact name, if available
Be mindful of time zones. Only contact apartment communities during reasonable leasing office business hours in their local time zone.
6. Outreach Tracking Spreadsheet
You will receive access to a Google Sheets tracking spreadsheet by email.
Every apartment community you contact must be entered into the tracking sheet.
In the tracking sheet, select your name from the "Representative Name" dropdown. Your name will already be available after you've accepted the Google Sheets invitation.
Always select your own name only. Never change, remove, or use another representative's name.
- Enter each apartment community before or immediately after contact.
- Keep notes clear and accurate.
- Update the status after each outreach attempt.
- Use the follow-up date field when a follow-up is needed.
- Do not delete or overwrite another representative's work.
If an apartment address or community is already in the sheet, do not claim it as your own. Duplicate entries may be reviewed and corrected.
Repeated or intentional duplicate entries, overwriting another representative's work, or claiming communities already worked by another representative may result in removal from the program.
7. Territory Rules
Reps may be assigned a state, city, region, or list of apartment communities.
- Only contact apartments in your assigned territory.
- Do not contact communities assigned to another rep.
- Do not change another rep's name, notes, or status in the tracking sheet.
- Ask for approval before working outside your assigned territory.
8. Manager Outreach Script
Use this script when calling, emailing, or speaking with apartment managers. Keep it short and professional.
Hi, my name is ______ and I'm with Doms Mattress.
We have a free Resident Welcome Program for apartment communities that lets new residents save 10% on mattresses and sleep products.
There's no cost, no contract, and no selling required from your leasing team. Your team simply adds our flyer to your printed or digital welcome packet, and residents order online if they're interested.
I can send you a quick link that explains the program and includes the free downloadable flyer. What's the best email to send it to?
9. If They Ask Questions
If They Ask, "What Is It?"
It's a free resident benefit. Your community can include our flyer in your welcome packet, and new residents get an exclusive discount code they can use online at DomsMattress.com.
If They Ask, "Is It Really Free?"
Yes. There is no cost to the apartment community, no contract, and no selling required. The community simply shares the flyer with residents.
If They Ask, "Do We Have to Sell Anything?"
No. Your team does not sell anything or process orders. Residents order directly through DomsMattress.com if they are interested.
If They Ask, "Who Handles Resident Questions?"
Doms Mattress handles product questions, orders, shipping updates, warranty support, and customer service.
If They Are Busy

If They Need Approval

11. Status Options and Follow-Up
Use the status dropdown in the tracking sheet to show what happened during outreach.
- Participating: Manager agreed to use or review the flyer.
- Not Interested: Manager declined.
- No Answer: No one answered the call.
- Left Voicemail: You left a voicemail.
- Call Back: Manager asked you to call back later.
- Email Sent: Program link or flyer was sent by email.
The ideal final status is either Participating or Not Interested.
Follow-ups are optional, but recommended when the status is No Answer, Left Voicemail, Call Back, or Email Sent.
12. Suggested Follow-Up Schedule
- 7 Days — Confirm they received the program link and flyer.
- 30 Days — Ask if they have started including it in their welcome packets.
- Every 90 Days — Check in, thank them, and maintain the relationship.
13. Daily Workflow
- Open your tracking spreadsheet.
- Select your name from the "Representative Name" dropdown.
- Find apartment communities in your assigned territory.
- Gather the community name, address, phone number, website, and email if available.
- Enter the community into the tracking sheet.
- Contact the leasing office.
- Introduce the Resident Welcome Program.
- Send the Resident Welcome Program page.
- Update the status in the tracking sheet.
- Add notes and follow-up date if needed.
- Move to the next community.
14. Performance Goal
This program is designed to build long-term recurring opportunity over time. Each participating apartment community may create future resident exposure to Doms Mattress.
Results are not guaranteed, and sales may vary. However, the goal is to build enough participating apartment communities that sales can occur consistently over time.
As a rough planning example, if every 100 participating apartment communities produced approximately 1 sale per month, then 3,100 participating communities could potentially support around 1 sale per day across a full 31-day month.
Because some communities may stop using the flyer, become inactive, or never send sales, reps should continue adding new participating communities. A suggested long-term target is to help add approximately 310 new participating communities per month to account for drop-off and keep momentum growing.
These numbers are planning examples only. They are not promises or guarantees of income, sales, or results.
15. Professional Expectations
- Be friendly and professional.
- Respect the manager's time.
- Never pressure anyone.
- Do not make promises that are not listed on the Resident Welcome Program page.
- Do not claim guaranteed sales or guaranteed resident participation.
- Keep tracking notes accurate and up to date.
- Only work within your assigned territory.
